August Board Meeting Minutes

Meeting held @ 7pm on 8/3/09 at Whole Foods on Washington Street.

Present: Doug Smith, Bonnie Keefe, Ric Robinette, Mick Vollmar, Tim Gentry, Heather Reddy, David Rothenburger, Aurora Arlet, Ray Sibley, Deb Cunningham, Leslie Mitchell, Karen Voss, Stephanie Struble, Kevin Downing, Felix Lopez, Mike Quispe, Bob Basse.

Successes:

  • 50th
  • Felix posted race results day after June TS and July TS.
  • July TS had 135 participants (38 non members).
  • Bob Basse got our MTS some publicity with Boulder Marathon.

50th Debrief

  • What went well:
    • Events: TS – 175, Reunion – 100+, Track – 50+, Relay – 50, Tues & Predict – 35-40,
    • Increased camaraderie
    • Stronger ties to sponsors
    • Higher awareness of club
    • Stronger ties to other clubs.
  • What could be improved:
    • Fewer days
    • Better coordination w/ other clubs.
    • Idea: Next year track, run w/ one of the other groups once/summer.

Membership will be the next focus for board

  • Why is membership down 50 people between March & May (531 to 475). 483 members, 325 families in July.
    • Need to identify lapsing members.  Deb will compare March list to May list.  The board couldn’t think of any reason we had a surge in memberships last March – AIR foundation was suggested.  Also suggested, members who don’t know membership has lapsed.
    • Agreed we’ll publish a list of recently expired & those expiring next month.
  • How do we get non-members to join the club? 38 at June race.  We talked about collecting email addresses to offer $5 off, meeting & greeting, asking why they came out.   No new ideas.
  • New member runs have not been well attended.  
  • Process to use gift memberships – process finalized. (pay first, get cert app marked “paid”).  We agreed to revist this ideas at holidays.

Marketing and PR

General marketing

  • RMRR yahoo group usage vs RMRR group on google.  This group started as a group of friends who ran together.  As late as last year, had 25 people running on Saturdays.  Now, no one shows.  Doug will survey of Yahoo group to see what they want to do.  Kevin will also survey RMRR group.
  • Email management – bounce backs. Kevin send Deb a list of bounces. Deb will call to get new email addresses so we can stay connected.
  • Take a bowflag to a race – David Rothenburger will take to Georgetown.  Someone should take to Park to Park.   Also, we can hand out apps at Park to Park – didn’t identify person to do this.
  • Roost in Lakewood? Grand opening event? Karen ck w/ Sonya.
  • BRC will have a new location down south – Arapahoe Road.
  • Table in Wash Park periodically – Deb raised this, but wasn’t really fired up about sitting out there hanign out apps.
  • Facebook page – Kevin has this out there.   Not a whole lot of activity.
  • Running Times guy at Trail Running night.  Aurora said this fizzled a bit after the 50th.  She’ll see if he’s interested in profiling another of our activities.
  • 50th article/pictures in Colorado Runner?  Yes, there is a new article on the Colorado Runner website with pictures from several of our events.  Nice work, Aurora!
  • Craig’s List – ‘Activities’ – Mick suggest this advertising venue.  He found a Tuesday night group this way. Kevin will look into it.  We can post events 30 days in advance.

Requests to promote other races – Deb. No – refer to Colorado Runner,

Saturday morning runs – vary venue & responsibility?  We agreed these aren’t well attended and that board members can take the lead & organize a group where they are going to run.  To make it happen, email Doug by Tuesday for the next weekend.  Email the RMRR eNews group, too.

Sponsors

  • Chiropractors – requests to do a booth at a race.
  • Software – various requests
  • The board agreed that  one must be a member to provide services at the races.  Can join for $30.

Requests to assist w/ races:  No,change in our policy.  We’ve got too much to do on our own.  Only do so if someone feels strongly abou the charity.

Logistics

  • August TS
    • Vols – need a few more.  Stephanie will email.
    • Food – Stephanie and Brian will purchase food at Costco.  Board members bring tin foil, spatulas
    • Cooking – Ray will cook.  Need additional help.
    • Course map – Ric will use the course he wants to use.  Concern w/ Adam’s is that landmarks may no longer be there.
  • Registration.  New member line is very long.  For August, we’ll try a separate table where people start to get their predict times.
  • Scoring issues from last TS resolved.  Problem was that the heat made tags too sweaty to read.  Mistook times for some members.
  • MTS on 8/2:
    • 66 people.  Successful. 
    • Lots of 10 milers.  Feeling is that it’s too early in the season for 20 miles for most training programs.  Issue was we had a conflict w/ the venue for a September date.
  • MTS on 8/23:
    • May have 100 people.  Fast Forward + 60 some regular
  • Van driver list- Leslie has a copy in the glove box of the van.  If you want to be on the list, email Leslie name, address, Driver’s license number.
  • Officers: Jeff Olson replaces Bonnie Keefe as Secretary
  • Cash box reconciliation.  We spent a lot of time discussing the cash box.  This has always been a problem for us because not all RDs balance the cash box.  After a lengthy discussion, Stephanie agreed to manage the cash at the races and to balance the box after each race.  We’ll try this for the next few months.
  • Treasurer’s Report – Leslie reported business as ususal.  The club has $27,000 in savings.  This is down from $36,000 due to spending more on volunteer awards and the 50th.  The account balance is higher than it was 5-10 yrs ago.
  • Consider raising membership fees.  Deb posed this as a question because we have not changed fees in forever.  There was some feeling that people would expect more if we charged more – free shirt when you join?  No changes to fees for now.
  • Race committee recommendations
    • Revised results for Stone House.  Need to post online.
    • 8 miler @ Platte River Bar & Grill – Ric & Bonnie will mark course.  Need to update website.
    • Dec TS will be 4.5 miles, not 4.4.  Update website.
    • Westminster will be nine miles. Update website.
  • Other Races: 
    • Linda Olson’s 5k is same day as our TS race in Sept. Had wanted help promoting.  We can pass out brochures, but practically out of time before the race.
    • Prairie View/Horizon CC race open to the public 9/29/09, 5k @ Addenbrooke Park.  Deb will add to website & bring flyers to TS.
  • Volunteers
    • Vol of the month – David Rothenburger for first RD role on June race.  Also work on 50th.
    • Denver Marathon water stop.  We’re still on.   No news – too far out from race for communication.
  • Sponsors
    • Karen & Peter’s tent/stretching after the race – Start again in September
    • December race – brunch @ Pub on Pearl? Craig Jones 303-868-9546, owner, asked about sponsoring us for an event.  Board agreed that the December TS would be a good event to bring down the hill to the Pub.

81 runners – down vs 129 yr before, but weather was supposed to be bad & Platte River half on same day.

50th anniversary night – Dave

  • Sunday – Doug.  2 mile run/pancake breakfast w/ more food items, coffee, hot cocoa, more fruit
  • Monday – Deb.  Reunion at Runner’s Roost.  Have Co-Chairs: Collect memorabilia, round up 3 good stories, tell friends.   Joe Arrazola will present his award.  Emailed 1300 less bounces, will call those names given by co-chairs, send 2nd email, no mailing.  Look at electronic or written and then scanned Guest book.
  • Tuesday – Eric.  Wash Park Fun Run.  Need a permit – no.  Pace leaders – should wear gray shirts and be able to talk about the club.  Meet on south side of park across from south high parking lot.  1-2 laps.  We will provide water and Gatorade.  Bonnie Brae tavern for food and drink
  • Wednesday – Scott/Mike.  Track practice w/other clubs, led by Maureen Roben.  Need to Rent a porta potty.  Provide water.  Bring white board to post work out.
  • Thursday – David.  Trail running night @ Lair ‘O’ the bear (6:30pm).  Pot Luck.  Club to provide plates/utensils.  Race in progress sign to direct runners.
  • Friday – Kevin.  Predict run at BRC in Littleton.  BRC to provide cake, prizes, 20% discount
    Need permit? – Foothills park and rec.
  • Saturday – Karen.  Dave provided update.  8am-12pm relay run.  RMRR to provide water.  Figure out way to track mi. – tix that ea runner turns in after 1 lap, they could put their name on tix for a drawing

Diva Evening 4/30 6-9pm.  Deb.  RMRR is leading the fun run.

Take a bowflag to a race – Deb.  Did so last yr at Georgetown.  Place for RMRR members to gather.
Blanket orders from Apex Textilgraphics – questions about how many ordered.  Need to resolve via email offline.
Facebook page – up and running per Kevin.  He’ll add more functionality.
Potts Trotters – Deb emailed Potts, but no reply.  Eric Greene will reach out to tell her about the 50th
MTS apps ready now:  But, s/b a 15mi and 2/ 20mi. We will reprint apps.
Need RDs for 7/19, 8/2, 8/23 MTS.  Heather Reddy will volunteer w/ Mick Vollmer for 8/2 event.

Logistics

May TS:  a. Home page had wrong time. Deb corrected to 8am start.  Eblasts are right.  Have enough vols.

Race committee recommendations

  • 2 mile @ Bible Park – Doug will finalize.  Board wasn’t too fussed about downhill at the end.
  • 5k potluck @deKoevend is day before Georgetown, but stays on that date. Spaghetti as an option for those running the next day
  • 8 miler @ Carson – Ric & Bonnie.   Bonnie reached out to restaurant where Masters stage their race.  Hasn’t heard back yet, but confident we’ll be able to run from there.
  • Dec TS will be 4.5 miles, not 4.4

Race results updated & final – Felix.  Keep following the new process to set up new runners away from members.  Have information table.

Race Directors :  a. Ric Robinette will do Aug TS w/ Karen. Deb do one MTS.  Date TBD.

Volunteers

  • Vol of the month – Lis Shephard
  • Bolder Boulder doesn’t want us at the finish. Anyone who wants to volunteer can log on their website and sign up.

Treasurer’s Report – Leslie.  One question – have we paid our RRCA dues for 2009?  Deb will check.

Successes:

  • Club membership up to 531 people. Up from 506 a few months ago.
  • 6 new members at the New Member run – Felix’s idea is taking off!
  • Two people mentioned our “12 races for $30” value statement – nice work by Kevin
  • 140 runners in March 2009 vs 109 in Feb and 50 in March 2008. 
  • Happy news – Ava Rose Champeau born 3/24. 8 lbs, 9 oz.

Marketing and PR:

  • Media plan – focused message – eblast 1x/mo., contact old members, Brock to reach out to his data base; he offered his database to us. Brock to start taking memberships at store. Denver Post interested in doing an article as well. Runners Roost to allow email to their data base for event.
  • Responsibility for keeping stores stocked w/ Applications – Kevin to take RR sports and north stores, Holly to handle RR aurora, Doug to take Runner’s Wild, Runners Roost and BRC
  • Next ad in Colorado Runner will be in May/June (MTS?)+ article in June for 5oth anniversary and a more detailed article about the club and anniversary on website. 
  • MTS ad in Rocky Mtn Sports to boost participation? Need 20 people x $20 entry fee to pay for $400 ad. No…let’s have app.’s ready for 50th week to promote.
  • BRC partnership w/ Brock Quimby next steps – Diva Night 4/30 5pm- ? Deb will lead w/ other ladies from the club.
  • Runner’s Roost Lakewood – Sonja on event/run – No news.  Karen will follow up w/ Sonja.

Membership:

  • Calling new members & Calling renewals to make them feel welcome.  Bob is working with the new people,  Micol Rothman Haji with renewing members.
  • After TS brunch.  Yes, go with City Park Golf Club
  • Laurie sending USPS letters to those without an email address or bad email.
  • Name Each Event – on hold for now.  None of the names thrilled the board.
  • Process to use gift memberships – numbered certificates for regular mail & electronic format – offline follow-up to simplify the process.
  • Use of club member email addresses to solicit personal businesses is a no-no.
  • Mike Knipps membership – duplicate check – Deb to contact Mike to see if he wants us to keep check and extend his membership or destroy the check.

March 2009 Board Meeting Minutes

February 23, 2009 meeting at Boulder Running Company.

Present: Ric Robinette, Dave Cunningham, Ray Sibley, Kevin Downing, Leslie Mitchell, Holly Whelan, Felix Lopez,  Deb Cunningham, Doug Smith, Bonnie Keefe, Karen Voss, Brock Quimby, Eric Greene, David Rothenburger, Scott Kukel

Successes:

  • Club membership up to 506 people. Low was 468 in Nov 2006. Keep up the good work on the meet & greet front!
  • 109 runners at Feb TS compared to 122. Although we didn’t better last year’s mark, we had a good turnout given several people who usually attend were out.

BRC (Brock Quimby/Dave Cunningham)
Discussed how BRC can work with RMRR.  We differentiated our club from marathon training programs for Brock.   They have many people coming into the store looking to get into running – either starting from scratch, looking to run a 5k or train for a marathon.  Our niche is for the person looking for a good value and a supportive environment.  We’re not the club for a marathon training program.  We talked about a training program.  After discussion, agreed this doesn’t make sense now.

Brock is looking for the club to refer our members to his store.  He is not looking for an exclusive arrangement with us because he supports many clubs.  We’ll continue our partnerships with other stores.  He said that in the past few years, he’s seen a reduction in the number of people showing their RMRR membership cards. 

We talked about a joint promotion to market the club and get people out to the store.  Ideas include a kick off event and something for the predict run during our 50th anniversary week.

RMRR talked about giving Brock complimentary memberships for people who purchase a specific amount of merchandise.

Marketing – Kevin & Dave

  • 50th anniversary Dave’s planning – Dave passed out planning sheets for the week of the 50th.   Dave asked people to have a rough draft for their evening’s events.  Want more detailed plan by mid March and fully developed plan by the end of March.
  • Next ad in Colorado Runner – March/April – our 50th anniversary ad.  For May/June  an ad for MTS with a potential article on the value of our club – Kevin is lead on this.
  • Idea: Contact John Meier re article for 50th anniversary (Denver Post).  Yes, on our list of media contacts.
  • Runners Roost in Lakewood moving – Karen will ck w/ Sonja about an event or kick off run
  • Belinda Frazier of Scott Carpenter Middle School – club w/ 8 middle schoolers running April and May TS races.  Board Decision = Free entry for the kids to run those races
  • Sample blanket from Apex Textilgraphics.  We liked the blanket.  Ideas about using it ranged from yr end awards to ordering a quantity if people want to buy.  Holly
  • Healthy Coffee – Kristin McFerro (who said she’s been at a club race or two) would like to sell her product after our TS.  Pricing = $3-$3.50 for mocha & lattes. Okay w/ her doing so? (858)-752-3950. Board agreed it’s okay to do so, but must get own permit.

Logistics

  • Race committee recommendations – Course changes were discussed.  Will likely have new courses at Bible Park, City Park.  Potentially changes from Chatfield if we have to pay $6/car permit fee.  This is what Colorado State Parks is starting to charge for access.  That’s too much for us – prohibitive.  Bonnie check w/ Chatfield and deKoevend.
  • Speeding up scoring – too long on race day, too much of a delay posting on line, database not updated for new members.  Tjhe board agreed we wouls score top 15, fast male/female and walkers only at race.
  • Membership database needs to be revamped to correct the problems.  No solution because don’t have the expertise on the board.  Specific problems cropping up- members scored as non members, new members defaulting to new each race.   
  • Scott Kukel will get the Track workouts put together so we can post to the website sometimeduring March.
  • Vol of the month – defer until next mo.
  •  Treasurer’s Report – prospective budget including 50th anniversary – Leslie.  On an apples to apples basis, the club will lose $2,000 this year.  This amount is the cost of the promotion for the 50th anniversary. Board agreed this was okay.
  • AIR Foundation selling their van for ~$4500.  Board agreed we should look at it as a potential replacement for our aging van.  Deb get VIN, make, model from Nick.
  • Mike Robbert stepping down from the board Member-at-large position for now. Replaced by Scott Kukel.

Membership

  • Qwest Grant of $500. AIR Memberships = 22 members x $30ea = $660. RMRR will use the $500 for their members, they must pay the remaining $160.   Deb and Karen talk to Nick at Sunday’s race.
  • New member run results- Felix.  Good results with three new runners. 
  • After TS brunch results good. Didn’t discuss, but will continue – Stephanie, Eric 
  • Text in renewal letter was changed to direct to RMRR site instead of Active- Laurie/Doug
  • Eric Green’s  Name Each Event – Reviewed names for Cherry Creek race:  Chilly Cherry Creek, Chilly Cherry, Cherry Creek Chill, Cherry Creek Chiller, Cold Cherry, Cherry Chiller, CC Cold, Cherry Creek Crawler, Cherry Creek Xing, Happy Feet at Cherry Creek.  With the issues with the venue ($6/head), we deferred a decision.
  •  Bill O’Dell idea – Christmas gift memberships – Ray Sibley presented his Certificate.  It looks great – Board agreed we can use it.
