December 1, 2008 RMRR Board Meeting Minutes

Present:  Holly  Whelan, Doug Smith, Bob Basse, Mike Quispe, Mike Robbert, Scott Kukel, John Lyle, Leslie Mitchell, Kevin Downing, Deb Cunningham, Lisa Champeau, Ric Robinette, Stephanie Struble, Felix Lopez, Heather Reddy, David Rothenburger, Bonnie Keefe, Becky Mueller, Gene  Peppin

Logistics (45 mins)

1.         2009 Board – see below. Formal acceptance of Eric Greene to replace Bob Reilly as a member at large.  Eric formally accepted as board member.

2.         Trophies for awards banquet mugs…go with mugs using old logo, check price for etching.  If etching is too expensive, go w/ black printing.  Alternate idea – look at framing posters w/ person’s name and placement.   Doug/Bonnie investigate.

3.         Awards banquet date:  1/25/09 (Sunday) is our first choice.  Alternate date is 1/24/09 (Saturday)  Fox Hollow for the venue.  John and Betsy investigate Fox Hollow.

4.         RDs for January TS and March covered.  Others signed up to direct this evening. 

5.         Venue issues? 

–Feb @ Cherry Creek rez – Need to re-measure for new start and determine turn around point.  Deb get map from Janet Fairs.

–Crown Hill – problems over bathroom & litter.  No problems this year.  Put out signs 1 week in advance.

6.         Scoring

–Comments on use of new process for non-members.  Scanner did not work at last race, but we want to keep using this process.

–Timers – New Time Machine – has been purchased.  Stephanie has the timer & will bring to the next race.

–Jim Flint timing system demo – free co-timing of one of our events.  Not interested in purchasing at the cost indicated, but he can come out and test his system.  Deb will follow-up with Jim.

7.         Dec TS – Champeaus …need 1 more non-running volunteer

8.         Vol of the month – Tom Mates for overall efforts volunteering.

9.         Vol of the year vote in December – nominations: Kristen Healy (website), Kevin Downing (bowflags, marketing), Ric Robinette, Felix Lopez.  Stephanie will send an email to the board requesting a vote.  Deb withdrew her name from consideration.

10.        Treasurer’s Report – inflows down no $ from Colfax, membership dues up, space age down.  Bottom line, the club will lose $3,000-$4,000 this year.  In the past, we’ve had slight gains, and consciously made a decision so spend more than our income for 2008.  Deb asked Leslie to prepare a prospective budget for 2009.

 

Marketing (1 hr)

New Sponsors

-Under Armour shoes -Male and Female raffle winners 24 pr.  Use these certificates starting in January.

-Dick’s Sporting Goods gift certificates for Dec-Feb.

-Kevin found a fuel belt online discount of 15% through RRCA.

 

Marketing – Kevin Downing w/ Karen Voss, Ric Robinette, Michelle Evans, Dave Cunningham, Deb Cunningham

-Need plans to target week’s worth of events.  Chair person for each night.  Identified owners for each night as listed below.  Kevin will organize a marketing call next week to start working on our outreach.

-Flyers  – cheap/smaller qty. for yearly events on one side and 50th anniversary events on the other.  We agreed to order a quantity of 250 to start.

-Board liked the poster, but did not agree to spend the money yet.  Defer decision on poster until next year.

-Website and metrics – deferred discussion to later meeting.

-Agreed to run an ad in RMS’s Keeper issue for 1/8 page.  Keeper = $280 for 1/8 page an eye catcher announcing our 50th anniversary week’s worth of events and refer to the website.

 

50th anniversary committees

Events – Doug Smith w/ Mike Quispe, Jim Chow, Scott Kukel, Bonnie Keefe, John/Betsy Lyle, Deb Cunningham.

-Finalize schedule.  Need confirmation from Steve @ Heritage, Maureen for Track before we can publish flyers.

-What do we expect of sponsors for Relay?  Had some discussion – baton for the relay itself + a team of people to run.

-Tuesday evening happy hr.  Deferred decision about this.  Agreed to list it as TBD for now.

 

Weeks Worth of Running tentative schedule: 

Everyone who participates in any of these events gets one of our RMRR promo items.

 

Sunday, May 31, 2009:  2mile Trophy Series race at Bible park followed by pancake breakfast and possible display of club memorabilia.  Event chairs:  Doug, Carmen, Bonnie

 

Monday, June 1: RMRR Reunion event at Runner’s Roost on Colorado Blvd.  Cake & ice cream combined with a non-running event.  (Approved by Nancy @ Roost via Doug).  Evening Chair: Deb

 

Tuesday, June 2:  Wash Park fun run followed by happy hour Event chair: Eric Greene

 

Wednesday, June 3:  Track workout combined w/ other track clubs like Columbines, Phidippides and Maureen Roben’s group.   Event Chairs:  Scott Kukel and  Mike Quispie

 

Thursday, June 4:  Trail running night combined with Denver Trail Runners, followed by potluck.  Event chair:  David Rothenburger

 

Friday, June 5:  Birthday Predict run around lake in Clement park.  For this ~1.4 mile race, runners predict a finish time and do not wear watches.  The winner is the person closest to their predict.  This is followed by Birthday cake at Boulder Running Company.  Evening Chairs: Doug & Bonnie

 

Saturday, June 6:  50 mile or more relay sponsored by Catalyst Therapies and Running Wild.  This non-competitive event consists of members running 1/4 mile laps around the Heritage HS Track.  Event chairs: Deb, Mike Q., Gene Peppin, Becky Mueller

 

50th Anniversary Promo items Holly, Stephanie, Leslie, Bob Basse, Deb  (15 mins)

-Year End for Vols & RDs  Holly & Becky will investigate gloves and camp chairs and fleece blankets.  Tyvek vests are too expensive.

-Give away item for week’s worth of running.  Board decided to order 1000 key chains in the round style w/ the new logo on one side and the URL w/ mountain outline on the other.  Holly has the authority to change to rectangular key chains if the vendor thinks the logo will fit better.  We’ll order these now & decide on when to start giving them out.  The board was inclined to start the give away early in the year.

 

Membership (if Time)

-Connect w/ new members (talk to these people!) 

-Felix’s idea:  new member meeting for a run.  Felix will take the first meeting in December.

-Poor Renewal experience: 191 of 409 renewals = 47%.  Club is not growing due to losing renewals.  Agreed to contact via snail mail if no response to email. 

-Dallas Idea – coupon for $5 off membership to non-members who run a TS race.  Yes, Deb emailed after last race.  No takers so far as Doug heard.
