Next Meeting Monday April 27, 2015In Attendance: Dave Cunningham, Deb Cunningham, Maria Lepage, David Rothenburger, Lisa Champeau, Scott Newman, Jimmy Funkhouser, Hilarie Ryals, Janet Fairs

1. Treasurer’s Report

Leslie report in email

2. End of Year Banquet

Attendance issue?

Why do people attend other banquets and not this one?

Market it better, rough marketing at the January race because of the cold

Dave was volunteer of the year

David was Ric Robinette Resolute Runner of the year

3. Trophy Race January

Bathroom issues – how can we avoid what happened with there being no restrooms?

Other than it being cold, at least it was plowed and relatively safe

4. Trophy Race February

Deb went out to preview the course

Out and back 3 1/2? Where will the start/finish be, we can’t have it right on the path

Set for being inside, a few raffles from the bar

Stephanie sent out email about volunteers, not sure where we stand

5. Parking for March Race

Wheatridge high school – Not convenient!

Could we start at the north of the park instead and get a porta-potty? We don’t have to pay for a permit, we just have to give them a damage deposit

Should we look for something else for 2016?

6. Volunteer of the Month

From Stephanie: “As for volunteer of the month, the non running volunteers at January’s race were Larry Mudron (got VOM award last August), me (previous recipient), Rochelle, Sharyl Riley (VOY a year ago).  As far as i can tell, Rochelle has not ever gotten the YOM award so I would nominate her. Olga also helped out a ton, doing registration and then finish line after running the 5k.  I do not have her as having gotten the award in the past few years.  Because I do not believe she has gotten the award since 2011, I would nominate her – she helps out all the of the time.”

Deb: “Brent & Teresa Jockers for bringing tent and heater.”

Voted on Brent & Teresa

7. Marketing

Posting the photos of the race increased our likes, and reach considerably

Colorado Runner Magazine Ad ready to run

New runners – 10

Making sure members are active and liking

Facebook Page instead of group is definitely the best route to go from a marketing standpoint

8. Goals for this Year

Deb:    Page to document all courses (David hesitant to make it available so people might steal)

-control access, password protect? google docs? Aside from course maps, Janet’s permit information, can we make this available? David a little hesitant, Deb stating that we need it available in case David is not available. Dave suggests setting it up in a controlled setting that is accessible, but restricted – then showing it to David to ensure that he feels comfortable with how it is provided.

**End goal:   One location so that each race director can easily get a link and start planning.

Recruit Junior Race Directors Need to get a list of Race Directors in order to match up some Juniors. David will make that available.

-Race directing can be daunting, make it more accessible, make Junior Directorship a step into full on Race Director. Tell people about the benefit of being a Race Director, helps folks get involved.

9. MTS

Starts March 29

On Active, it’s in the ad

How can we get registration up?

Partnering with a Marathon to be an official group

We are an official run club for the Colfax, Lisa will contact Rich to see if we can post a discount offer on the Colfax site. Try and get a more prominent place with registrants.

**Action:       Lisa – to talk to Rich who runs the Facebook page.

Dave – get info to Lisa about MTS so she can share with Rich

10. Trophies for 100 Races in a Row

Plaques for people who have completed X amount of races in a row

Hilarie: Milestone plaques, 5 years, 10 years, etc.

Certificates? Tshirts? Socks? Something different at each milestone?

**Action:       Hilarie – list of people at their milestones

11. Gift Ideas

Keep in mind for next year

12. Store Presence

Jimmy: sent out email looking for store representatives, received over 40 replies

-need the information

-will send out an email to the respondents prior to Sunday with instructions, then will distribute print items to the reps on Sunday

-all stores covered, except for Boulder stores (however, Jimmy could cover those)

-monthly reminder email about stopping into the store

**Action:        Dave – email info to David to review, so we can get the material to Jimmy by Sunday

Hilarie – send files to David

13. Other Ideas

Building other relationships?

Restaurants, breweries?

Weekly runs in conjunction with another group? Like BRC?

Making Track Workouts social, growing it, but how do we account for the faster vs slower runners

Try and find someone who lives in the location and determine a place to go afterward

**Action:      Jimmy – Strava running group, can cross-pollinate with Facebook

Side note: Michael has taken care of the car emissions, registration, etc.

Long Runs River Point Shopping center
Track North High, April 2 6:15p start (warmup before)
Colfax Marathon Tent

>> Dave C add notes about Track and Colfax on the website

I am a Runner – we all identify with this statement, and that’s what the club should do – help people be the best runner they can be.
All like the idea. Leslie talked of “connecting the dots” – that’s what we help people do
Agree that this is the message we want to present on website, other materials
Action plan shows many items we’ll work on to achieve this – races, track workouts, more sponsors, resources on web,
Logos for possible shirts
Idea of Runner in front, club logo in back
>> David R continues to work with Lisa on shirt idea
>> Board members send your thoughts on how this should look to David.

Action Plan
>> Board members review attached plan and take 10 minutes to think of any items we should add. Send them to Dave C! we’re already making great progress.
Membership
– Hilarie has fully taken over from Eric. Thanks to Eric for many years of hard work!!
– Hilarie updated the membership letter to include links to various club activities – great!
– Also: database now housed on Bluehost site, not Lee’s virtual Windows desktop.

– someone to consider whether we need a group AND A page on Facebook: who wants to do this?
>> Dave C look for someone to do this – add to Action Plan

Handout for new runners? Postcard size with info on all our activities? Business card size?

>> Dave C work on this, send out a couple of examples

>> Dave send Michael Lisa’s email for volunteer hours
>> Dave send all Action Plan files to John B
>> Dave C order double sided tape for scoring (DONE!)

July 2014 Board Minutes

Monday July 7, 2014 6:30p BRC Cherry Creek

Treasurer
Income is down by $2,000 from last year, YTD. Membership income is down $425 and Trophy Series income is down $1,170. I’m assuming that there are some checks in the cash box or PO box that will bring the membership income up. The Trophy Series income category also picks up uncategorized cash from the cash box and is really just a timing issue. So, overall, while I do think income is down slightly, it isn’t as much as would first appear.

The good news is that expenses are down by $2,200, so overall, the club is “in the black” YTD.

Trophy Series Race – June
4K – Bible Park – went well, breakfast well managed. Did run out of pancakes, so need to buy a little more next year. Some people didn’t get pancakes (Dave C for one)

Trophy Race – July 13, 8 am – Race 2 mile Stonehouse (Scott K, Rob Sanchez and David R)
Volunteers – Steph sent out call for volunteers
Race course – same as last year.

Races
Marathon Training – no one officially signed up to direct races yet. Michael LePage volunteered to do one. David R will do another, and will find the other director.

August – Dave C will direct, probably with Ric R help. Steph agreed to get food. Space Age Credit Union people will be there to push membership.

October Race – Back at Parker – Bob Basse and Eric Green to Direct

Volunteer of the Month – June
Kristin Mott for scoring. She spent time learning and dealing with a tricky month of results

Getting more club involvement
>> Dave C will send mailing talking about list of possible activities and pushing new people to get on the board. Will use MailChimp. Done by end of July.

Marketing Dave C
I am a Runner – Plan to provide Polar insulated water bottles to members to reward race involvement and member referrals. Dave C showed all Lisa’s designs to general approval. We liked the solid letters because they’re more visible. Dave explained the wrapper approach we can use with Polar bottles. Group approved buying 200 with runners on one side, RMRR logo on the other.
>> Dave getting a quote, will work with Polar and Lisa to complete.
How do members get one? Dave’s idea = 5 club races, 3 club and 3 away, or one referral of a new member. We would do this retroactive to Jan 1.

Dave C turned in new ad for August Colorado Runner with Sept – Nov races and MTS.

>> Active – Dave C will post Marathon training events this weekend.

Denver Marathon Waterstop – we’re signed up for first half of course to get half and full marathoners.
>> Dave C to find out where the stop will be and let board know. Will need to get volunteers out early!

Stacy Bolyard: person from Phoenix interested in getting involved – ask her what she would like to do, maybe emphasis on building activity and involvement.
>> Dave C working with her and will report back.

Phiddipides – has been posting things from Facebook and having an active presence, also encourages others to post.
>> Is there someone who could drive this for us? Someone who’s active and can do this a couple of times a week to encourage others to post? Does Stacey want to continue this? Dave C contact Stacy and see what she’s thinking.

>> Deb – check into more cones because we’ve lost lots of our smaller ones – Home Depot? Other places?

Track Wed – North High 6:15pm 32nd and Federal

Year-end awards – what to do for this year?
>> everyone bring 3 ideas to next meeting on July 28
initial thoughts: hoodie shell; heavier running top like Dave C got at Bighorn
